Navigating the Beautiful Chaos: Caffeinated Chaos Coordination for the Ambitious Female Entrepreneur
Let’s be honest, shall we? “Work-life balance” is more myth than magic, especially for ambitious women like us who are juggling businesses, families, & maybe even squeezing in some study (like I am with my PhD!). It’s more like “work-life-study-family… everything-balance,” which often feels less like serenity & more like a caffeine-fueled tightrope walk over a pit of to-do lists. Sound familiar? Thought so!
I get it. I really get it. Four kids, two miniature pinchers (one decidedly more chilled than the other – Espresso, I’m looking at you, Head of Unscheduled Barking Practice!), a PhD, & running not one, but two businesses (Femmeprenista & Thrivology Digital – someone’s got to keep the digital lights on, right?). My life is a beautiful, chaotic tapestry woven with school runs, video calls interrupted by rogue toddlers, & the constant hum of, well, let’s just say it’s not always Mozart. My partner (my personal workaholic, bless his well-meaning, tech-loving heart) thought he had the answer: a new AI-powered schedule. Turns out, the AI’s idea of “optimal” involved 15-minute family time slots and color-coded socks. Hilarious, but impractical. The dogs, however, were promoted to “Chief Productivity Officers,” apparently for their barking prowess.
What the AI did highlight was the gap between theory & reality. It reminded me of that time at Apple when a slick new project management system flopped because it didn’t account for human factors (school plays, toddler-induced crises). Technology is a tool, not a solution. It’s the human element – adaptability, understanding the “why” – that makes any system work. It’s about coordinating the chaos, not eliminating it.
That’s where “Caffeinated Chaos Coordination” comes in – Femmeprenista’s system for not just surviving, but thriving. This isn’t about another to-do list item. It’s a mindset shift, a commitment to personal responsibility (huge for me), & building supportive systems. You know that “if only I had more time/help” feeling? It’s about owning your progress now. Owning progress sometimes means admitting mistakes. Last week, I forgot to schedule welcome emails for my new Spark Program members – panic! Solution? A quick video acknowledging the glitch, offering a bonus resource, & promising the emails soon. Turned disaster into connection. Owning imperfections builds trust.
From Chaos to Coordination: Practical Steps for the Modern Juggler

Here are a few of my favourite “Caffeinated Chaos Coordination” principles:
- Prioritize, Ruthlessly (and Realistically): Business Coaching for Female Entrepreneurs isn’t just about strategy; it’s about aligning it with your life. You can’t do everything. What are your 2–3 most important tasks today? Focus on those. This is where your core business “why,” inspired by Simon Sinek’s “Start With Why,” comes in. People connect with your purpose. Understanding your “why” guides decisions. I often ask clients, “What actions will get us there?” Breaking it down is key. For a busy mum & PhD researcher, it’s a lifeline. Example: Yesterday, I had a client call, a school event, & a looming deadline. My “why” (empowering women) guided me to prioritize the call & event, knowing the deadline could shift slightly without derailing my core purpose.
- Time Blocking is Your Friend: Schedule blocks for focused work, family, even “me time.” Treat them as sacred. Your calendar isn’t just for clients; it’s for you. My research reinforces this: integrating life is crucial. Building my business & being present for my kids defines my success. It’s harder with four little ones & a PhD, but it’s about design. Remember my first university struggles vs. finding my UEL tribe? The right environment & systems are key. “It’s the system that’s going to help us.” Example: I block out 9-11am for deep work, knowing my toddler naps then. Evenings are family time, phone down (mostly!).
- Automate All The Things: Automate everything possible! Social media, emails… Free up time & brain space. Streamlining gives you time for what matters – finishing proposals, “Dora-free” play. As Rory Sutherland says, “If you want to improve how people feel, psychology is a better area for exploration than rational improvement.” His work shapes my approach: focusing on the ‘why,’ leveraging ‘psychological moonshots’ – small changes with big impact. It’s about creating perceived value. Example: Automating my Instagram posts freed up an hour each day. I used it to create a new lead magnet, applying Suby’s HVCO strategy.
- Embrace Imperfect Action: Done is better than perfect. Let go of “just so.” As my teenage daughter says, “Just do it already, Mum!” Game-changer for Foundation Builders. Example: My first website wasn’t perfect, but launching it (imperfectly!) attracted my first clients. Progress, not perfection!
- Ask for Help (and be specific): It’s tough, but crucial. Ask your partner for bedtime duty, outsource dreaded tasks. Be specific. “Help” is vague. “Can you take the kids for two hours Saturday so I can write?” is better. Remember telling my mum, “I need help now“? That directness taught me to articulate needs. Example: Instead of “help with marketing,” I asked my partner (my tech wiz) to set up a specific email automation, freeing me to focus on strategy.
- Celebrate the Small Wins (and share them!): Running a business while juggling everything is a marathon. Celebrate every milestone. It can feel lonely. Share a win this week! Community is vital. Join Femme:Connect – a judgment-free zone for ambitious female entrepreneurs. It’s filled with women sharing tips, from navigating school holidays to client onboarding – the support I wish I’d had. Example: I celebrated landing a new coaching client and finishing a chapter of my PhD this week! Small wins, big impact!
Owning Your Chaos: It's Not Just the System, It's Your Response
Yes, the system isn’t always supportive of juggling mums with big dreams. The childcare struggle, the pressure, the constant pull – it’s real. I’ve been there. Right now, I’m struggling to carve out consistent focused work time for my PhD research. It’s something I know I need to prioritize, but the juggle of client work, the kids, & just daily life makes it a constant challenge. I have to keep reminding myself that, even within imperfect systems, we have the power. But what if the real power lies not in blaming the system, but in figuring out how you can navigate it? I truly believe (and my research confirms this!) that even when it feels like millennials “got the bad end of the stick,” it’s about what you do! This is Business Coaching for Female Entrepreneurs in action. As Tony Robbins says, “It’s not knowing what to do, it’s doing what you know.”

What’s one small, smart step you can take today? Share it!
